Visitors

We may at the time of you booking a tee-time collect, store or use, some, or all of the following information:

• First & Last Names.
• Country.
• Email Address.
• Home & Mobile Telephone Numbers.
• Details of any special requirements relating to the tee booking.
• Preferred method(s) of contact (Email, SMS, telephone).
How Do We Collect It?
Visitors may supply this information on-line, by telephone or in person at the Club.
What Do We Do With this Information?
• Maintain tee sheets.
• Contact you should the course be closed due to bad weather or other reasons.
• Contact you should there be a query regarding payment.
• Contact you or your playing partners should there be an emergency on the course.
• Contact you with information about events, club activities and membership and visitor offers.
Members
What Information Do We Collect?
We may collect, store or use, some, or all of the following information:
• First & Last Names.
• Date of Birth.
• Address.
• Home and Mobile Telephone Numbers.
• Email address.
• Gender.
• Handicap ability including CDH number.
• Membership Category.

How Do We Collect It?

Members are requested to supply this information to the Club on joining. It may be updated by members online or via the Club.

What Do We Do With this Information?

• Maintain our membership records.
• Send membership invoices to you and maintain your account balances.
• Contact you with relevant club correspondence.
• Keep a record of any competitions you play and your handicap.
• Provide information to England Golf and Hertfordshire Golf Union as necessary for purposes such as the collection of affiliation fees.
• Select teams and provide team sheets for both ‘home’ and ‘away’ fixtures.
• Maintain tee-sheets.
• Confirm your handicap to other Golf Clubs if they request confirmation of your handicap for any competitions you have entered with them or for a match.
• Post the results of competitions, including ‘accumulators’ in our newsletter, on our noticeboards and on-line.
• E-mail to you our regular newsletter including information about events, club activities and offers.
• E-mail to you details of our fundraising activities.
• E-mail contact details to knockout match opponents.

Who Do We Share Your Information With and Why?

The Club will not share data with any third party other than for the purposes set out in this Privacy Policy.
We may disclose your personal information to the extent that we are required to do so by law or in connection with any legal proceedings or to exercise or defend our legal rights.
Members’ data is held on servers hosted by Club Systems International Limited. Members are advised to read their privacy policy. Data is accessed either directly or through a link on the Club’s website. In both cases access is password protected. We may disclose information about you to any of our Directors, Staff, Committee Members, Team Captains and the Club Professional, as reasonably necessary for the purposes set out in this privacy policy. By using privacy settings members can restrict contact information available to fellow members. Under the Club’s Safeguarding Policy, younger members’ information is only held with their parents’ consent.

Tee-time booking data is managed on behalf of the Club by BRS Golf Ltd. Members and visitors are recommended to read their privacy policy. The Club does not have access to payment details (e.g. credit/debit card details) and uses data from BRS Golf only for purposes set out in this Privacy Policy.
We will take reasonable precautions to prevent the loss, misuse or alteration of personal data but we cannot guarantee the security of data sent over the internet, or held by third parties.

When data is no longer required, all reasonable steps will be taken to delete it without delay.
